Manage a shortlist you sent

Updated

This is for recruiters who sent applicants to a client. When your client gives a verdict on a candidate, you see it on the candidate and decide what to do with it. Nothing moves until you do.

Open the role's candidates

Select Jobs in the sidebar, open the role and select its Candidates tab.

Find the verdict

A candidate your client has given a verdict on shows a Client verdict chip on their row and on their page, with who gave it and when. If you hire for your own organisation, it’s a Hiring manager verdict.

Act on it

Select the chip’s main button. For Interview it’s Move to In process, for Proceed it’s Move to Offered, and both open the stage change. For Reject it’s Reject, which opens the reject dialog. For Screen first it’s Send a screening, which opens the screening invitation.

Finish the move

Make the move, or send the screening. The verdict then shows as Accepted.

The chip has no button to act on it

Hold means not now, so there’s nothing to move. If the candidate is already at the stage the verdict asks for, or already has a screening on this role, the button is Accept and only marks the verdict. On an archived role, verdicts can be read but not acted on.

The verdict didn't show as Accepted

It’s marked only once the move is made or the screening is sent. If you closed the dialog without moving the candidate, select the button on the chip again.

What the verdicts mean

  • Interview: they’d like to meet the candidate, and may say when suits them.
  • Screen first: they’d like a short written screening before deciding.
  • Proceed: the candidate is ready for an offer.
  • Hold: not now.
  • Reject: not for this role, and they may say why.

To set a verdict aside without acting on it, select Dismiss on the chip.

When your client gives a verdict or comments, the person who sent the shortlist gets a notification and an email a few minutes later. Several verdicts given together arrive as one.

Read the comments

On the role’s Candidates tab, the Sent to client card lists each shortlist you sent from the role, with each person’s status and their latest verdict on each candidate. Comments shows what was said about the shortlist and about each candidate, and History lists every change, from the first send to the latest revoke.

Change a live shortlist

On the shortlist in the Sent to client card:

  • Extend keeps it open for 7, 30 or 90 more days from today.
  • Resend emails one person a new link. Their earlier link keeps working.
  • Add candidates adds more of the role’s applicants. Everyone who still has the link gets an email saying who was added. A shortlist holds 20 candidates at most, withdrawn ones included.
  • Withdraw takes one candidate off. Nobody is emailed. The client’s page keeps them, marked as no longer put forward, with the date.
  • Recipients see each other’s feedback lets everyone it went to see each other’s verdicts and comments, by name, including what they already wrote. Turning it on asks you to confirm with Show to everyone.

Revoke access

To cut one person off, select Revoke next to them, then Revoke access. Their link stops working at once, and everyone else keeps theirs. To end the whole shortlist, select Revoke all and confirm. This can’t be undone.

Every shortlist in one place

Select Clients in the sidebar, then the Sent to clients tab (Sent to hiring managers in-house). It lists every shortlist your account has sent, and you can filter it by client and by Status. Each client’s own page also lists its shortlists.

Archived roles

On an archived role, you can still Revoke access and Withdraw candidates. Extending, resending and adding candidates need the role to be unarchived.

To send a new shortlist, see Send applicants to a client.
