Send applicants to a client
Updated
send to client, share with client, shortlist, client link, hiring manager, submit candidates, present candidatesThis is for recruiters who want a client, or a hiring manager in your own organisation, to review a role’s applicants. You send a shortlist from the role, and each person you send it to gets their own link by email. Send to client works on a managed ad.
Open the role's candidates
Select Jobs in the sidebar, open the role and select its Candidates tab.
Tick the applicants to send
Tick each applicant you want on the shortlist. A shortlist holds up to 20 candidates.
Open Send to client
Select Send to client in the bar that appears once you tick someone. The button shows how many you ticked.
Choose who gets it
Under Client contacts (Hiring managers if you hire for your own organisation), tick the people who should get it. To send it to someone who isn’t listed, enter their Name and Email, and select Add someone for each extra person. If the role has a client, keep Save as a contact on to add them to its contacts. One send goes to 10 people at most.
Add your notes
Optionally, under each candidate, say why they’re on the shortlist. Under Note (optional), write a note for the whole shortlist: it’s shown in the email and above the candidates.
Choose how long it stays open
Under Open for, choose 7, 30 or 90 days. Under Language, choose the language of the email and the page they open.
Send it
Select Send, then Done. Each person gets their own link by email.
Send to client is greyed out
On an ad that isn’t managed, Send to client stays off: manage the ad first. See Manage a job ad. On a managed ad, tick at least one applicant first.
Some of the people I ticked were left out
Only people who applied to this role can be sent. Matches and people you imported are listed under Invite to apply first and left out until they apply. Applicants whose Virtual CV is still being built are listed under Their CV is still being built and left out of this send.
I don't see any client contacts
The list shows the contacts of the role’s client. If the role has no client, link one on The ad tab, or type who to send it to. See Add clients and link them to roles.
It says I can see this role but not send its candidates
Viewers can’t send candidates. Ask an Admin or a recruiter on your team. While your plan is paused, nothing can be sent until it resumes.
You can also send from
- The top of the role, next to its other actions, once you’ve ticked applicants.
- A candidate’s page, if they applied to the role.
Contact details
Your client sees each candidate’s Virtual CV as the candidate published it, without their email address, phone number, social links or documents. To share one candidate’s contact details, turn on Share contact details under their name and confirm. Their documents are never shared, and Orbit records that you shared their details.
Who can open the link
Each person confirms their email address with a one-time code before they see anyone. To skip that check, turn on Anyone with the link can open it and select Allow. Then whoever has the link can open it, including anyone it’s forwarded to.
By default, each person sees only their own verdicts and comments. Turn on Recipients see each other’s feedback for a panel that decides together: everyone it goes to then sees what the others say, by name. You always see everything.
What your client sees
The email links to a page with your company’s name, and with a paid plan your logo and accent colour. To open it, they enter the address the email came to and type the 6-digit code we email them. The code works for 15 minutes, and they stay signed in on that device for 30 days.
The page shows the role, your note, and the candidates in the order you sent them. Each candidate opens to their full profile, and Side by side compares them. For each candidate, your client can give a verdict and comment, and they can comment on the whole shortlist. The candidates never see what they write.
See who opened it
On the role’s Candidates tab, the Sent to client card lists each shortlist and every person it went to: Opened with the date, Not opened, Responded, Revoked or Expired. To read verdicts, extend a shortlist, add candidates or revoke someone’s access, see Manage a shortlist you sent.
Earlier client links
Send to client replaces the client links Orbit used to make, and you can’t make new ones. Links you made before keep working until they expire. While one is live, it’s listed under Earlier client links on the role’s Candidates tab, with how many times it was viewed. Select Switch off to end it now.
