Add clients and link them to roles
Updated
client, agency, hiring team, hiring manager, client contact, who the role is for, filter by clientThis is for recruiters who hire for clients, and for in-house teams who hire for several teams of their own. A client holds its contacts, its roles and the shortlists you send it. Clients are free on every plan.
Open Clients
Select Clients in the sidebar. If your account hires for its own organisation, it’s called Hiring teams.
Start a new client
Select New client.
Enter the client's details
Type the client’s Name. Add its Website domain, such as acme.com, if you know it: left empty, Orbit looks the name up among the companies it already knows. Notes are optional, and only your team sees them.
Add the client
Select Add. The client’s page opens.
Add a contact
Under Client contacts, select Add a client contact. Enter their Name and Email. Job title and Phone are optional. Select Add.
Link a role to the client
Select Jobs in the sidebar, open the role and select The ad tab. Under Client, pick the client. It saves straight away, even on a live role.
I see Hiring teams instead of Clients
Orbit names things after how your account hires. An account that hires for its own organisation has Hiring teams and Hiring managers instead of clients and client contacts. An Admin can change this in Settings, under How you hire.
I don't see New client
Viewers can read clients but can’t add or change them. Ask an Admin or a recruiter on your team.
It says someone with this email is already listed
Each email address can be listed once per client. Find the person in Client contacts and select Edit to change their details.
The client isn't in the list
Archived clients aren’t offered. Open the client from Clients, selecting Show archived if you need to, then select Unarchive. To add a client that isn’t there yet, select New client next to the list, type its name and confirm.
Only your team sees the client
A role’s client is never shown to candidates, and it isn’t part of the job ad. It’s for your team: to find the role, to filter, and to send its applicants to the client.
Pick the client when you post a role
When you post a role, the editor asks for the Client first. Pick one, or select New client to add it without leaving the editor. See Post a job.
Filter by client
Once your account has a client, Jobs and Applicants have a client filter. Choose a client to see only its roles, or its roles’ applicants, or All clients to see everything again.
What a client’s page shows
The client’s page lists its roles, open and closed, the shortlists you’ve sent it, your notes and its contacts. The Clients list shows each client’s open roles and contacts, how many shortlists are Awaiting a verdict, and its Last activity.
To edit the name, domain or notes, select Edit on the client’s page. To change or remove a contact, select Edit or Delete next to them. Deleting a contact doesn’t change any role.
Archive a client
When you stop working with a client, select Archive on its page. An archived client is no longer offered when you link a role, and roles already linked to it keep it. Archived clients are hidden from the Clients list until you turn on Show archived. Select Unarchive to bring one back.
Hiring for your own organisation
Orbit asks who you hire for when you create your account. For clients suits an agency or a recruiter: roles are for client companies, and the people you deal with are client contacts. For my own organisation suits an in-house team: roles are for your own hiring teams, and the people you deal with are hiring managers.
The choice only changes the words Orbit uses, for everyone on the account. To change it, an Admin selects Settings, then How you hire under Account, chooses the other option and selects Save. Nothing already linked moves. Everyone else on the account can read the setting but not change it.
If your account was created before Orbit asked, an Admin sees Is this how you hire? once. Select Keep this, or the button that changes it.
Next, send applicants to a client: see Send applicants to a client.
